Time Tracking – Approvals

On the Approvals page you review pending approvals from your team members: time entries, absences (e.g. vacation, sick leave) and extra pay bookings. You only see entries that are still waiting for approval.

Who sees what

By default you only see bookings for which you are entered as the next approver in the approval process (tab "My approvals"). If you have payroll rights in your company, you also get a "All" tab, which shows every open approval in the company, regardless of whether you are the current approver.

Switching views

In the top right you can use the view icon to switch between a table view and a list view. Both show the same entries; the table view additionally offers sorting, column settings and export (see below).

Filtering

The filter icon opens a dialog where you can narrow down the displayed bookings:

  • Date range – from/to date

  • Booking type – all, time entry, absence or extra pay

  • Employee – chip-based selection, including email and personnel number

  • Projects, cost centers, tasks, extra pay types – each as a chip selection, populated with the values actually present in the currently open bookings

  • Limit – display cap (e.g. 100/500/1000 or no limit); this is only a display limit, not a content filter

The "Apply" button shows you live how many entries match your selection compared to the total. Use "Reset" to clear all filters. Your last used filter is saved locally on this device and automatically re-applied next time you open the page — this only affects you, not other users. If there are more matches than the configured limit allows, a banner shows how many entries are displayed versus the total available.

Approving or rejecting a single booking

In both the table and the list view, every booking has two action icons: a green checkmark to approve and a red cross to reject. Depending on your permissions, "Edit" and "Delete" may also be available (in the list view via a "⋮" menu). Clicking on the booking itself opens its detail view.

Effect on other users: If you approve a booking and it is the last step in the approval chain, the entry is then fully approved. If further approval steps exist, the booking automatically moves on to the next approver, who will then see it on their own approvals page. If you reject a booking, it is immediately marked as "rejected" and the approval process stops. In both cases the affected employee is notified (always as a log entry, plus push/email if they have enabled that in their notification settings), and the status changes immediately in their own time tracking view as well.

Approving all bookings at once

The "Approve all bookings" icon in the header lets you approve all currently displayed (i.e. filtered) open bookings in one step. You first get a confirmation prompt showing the number of affected entries, then the approvals are processed one after another with a progress indicator. The effects are the same as for individual approvals, just applied to all currently visible entries at once — so check your filter before using this function.

Table view: columns, sorting and settings

The table shows columns such as: date, employee photo, first name, last name, personnel number, booking type, cost center, project, ticket, recorded by, task, extra pay type and value, start, end, break, total and note.

  • Sorting: click a column header to sort by it (ascending or descending). The employee photo column cannot be sorted.

  • Changing column settings: click the "⋮" icon (three dots) in the top right of the table. In the menu that opens, choose "Table settings". There you can show or hide individual columns, reorder them via drag & drop, and adjust their width.

  • Storage: your column settings are saved locally on your device only and apply exclusively to this table — not to other users, and not to other time tracking tables elsewhere in the app.

  • Export and copy: the same "⋮" menu also offers "Copy" (copies the table to the clipboard) and "Export" (downloads the currently visible columns and rows as an Excel file). This export is only available in the table view, not in the list view.

Who can do what

You can only approve or reject a booking if you either have payroll rights in the company, or are entered as the approver for the current approval step of that booking. Editing or deleting individual bookings additionally depends on an editing time window. If an action is not available to you, the corresponding icon is hidden or disabled.
