Time tracking

On the Time Tracking – Overview page you view and record your working time, absences (e.g. vacation, sick leave) and extra pay bookings for a selectable time period.

Who sees what

By default you only see and edit your own bookings here. If you are a payroll accountant or have leadership/group rights for other employees, you can additionally view and edit bookings of your group, your reports, or all employees via the filter.

Choosing a period and switching views

Use the calendar at the top to choose the displayed period (e.g. a month). Two independent toggles are also available:

  • Individual entries / day view – either every booking as its own row, or aggregated per day and employee (target/actual time, difference).

  • List / table / timeline – three display formats, with the timeline visualizing the bookings in a calendar-like way.

Both settings, as well as the last selected period, are saved locally on your device and restored the next time you open the page — this only affects you, not other users.

Filtering

The filter icon opens a dialog where you can filter by employee ("My times"/"My group" quick selection, if you have permission), cost center, project, task or booking type, among others. An active filter is highlighted.

Recording time

The round plus button in the bottom right gives you the following actions, depending on your permissions:

  • Record time – immediately starts a running time entry without an end time (a timer).

  • Add time entry – opens a dialog where you enter cost center/project/ticket, task, start/end time, date, break and a note; as a payroll accountant you can additionally select several employees at once and use a "approve directly" switch that creates the booking as already approved instead of sending it through the normal approval process.

  • Absence – records e.g. vacation or sick leave.

  • Add extra pay – records an extra pay booking.

When saving, the system checks whether the new booking overlaps in time with an existing one; in case of a collision you can save anyway or view the colliding entries directly. If the affected employee already has an open (running) time entry, it is automatically closed or split when the new one is created — this immediately affects the display for everyone who is allowed to see this booking (e.g. on the approvals page).

Stopping a running entry

A running (not yet ended) time entry is shown with the status "running". Use the "⋮" menu on the row to end it with "Stop time tracking" (or the red round button in the Listview - day view).

Editing, deleting and the day view

The "⋮" menu on a row lets you – if you have permission – edit or delete the booking, or open the day view (all bookings for that day for the respective employee). You can also select multiple entries in the table at once to approve or reject them in a bulk action.

Approval status and effect on other pages

Every booking shows a status chip: running, open, rejected or approved; clicking it opens the approval process dialog. Important connections you should know about:

  • A newly recorded booking with status "open" automatically appears for the relevant approvers on the Approvals page.

  • If you edit an already approved booking, it is – unless your company has explicitly locked this – sent through the approval process again, i.e. reset to status "open". If an entry is locked company-wide after approval, you (other than as a payroll accountant) can no longer change it afterwards.

  • If a booking is already marked as exported in Payroll, it is completely frozen — no changes are possible here in the overview either.

  • All changes are distributed live to everyone allowed to see this booking — if you open this page at the same time as a colleague, the view automatically updates on relevant changes.

Editing time window

As a regular employee you can only create or change your own bookings within the recording period defined by your company. If a booking is still at an approval step where you yourself are the approver, you may additionally be granted a limited editing time window starting from the creation date.

Table: columns, sorting and settings

Depending on the selected view (individual entries or day view), there are two different tables:

  • Individual entries: date, profile photo, first name, last name, personnel number, booking type, cost center, project, ticket, recorded by, task, extra field value, extra pay type, start, end, break, total, approval status, note.

  • Day view: date, profile photo, first name, last name, personnel number, start, end, actual time, target time, difference (red if negative), tasks, projects.

Sorting: click a column header to sort by it; some columns (e.g. the profile photo) cannot be sorted.

Changing column settings: click the "⋮" icon (three dots) in the top right of the table and choose "Table settings". In the dialog that opens you can show or hide columns via checkboxes, reorder them by drag & drop, and adjust their width. The same menu also offers "Copy" and "Export" for the table.

Storage: your column settings are saved locally on your device only — separately for the individual-entries table and the day-view table. They do not affect other users, and not other tables (e.g. on the approvals or payroll page).

Export

Use the download icon at the top of the header to export the currently displayed data for the selected period as an Excel file. This only works if you are online and your data is fully synced — otherwise you'll get a corresponding notice. For format-specific payroll exports (e.g. DATEV), use the separate Payroll page.
