Time tracking

On this page you manage cost centers and cost units that your employees can assign to an entry when tracking time, recording extra pay bookings, or recording absences.
You find this page in the company area, in the left-hand menu under the "Time tracking" section, as the entry "Cost centers". This menu item only appears if your company uses the time tracking module.

Who can see and edit this page

The entire company detail area, including this page, is only accessible to company admins; all other roles are automatically routed to the company profile. Creating, editing and deleting are accordingly only possible as an admin — the permission is additionally checked on the server.

Creating or editing a cost center

The round plus button in the bottom right opens the create dialog; the pencil icon on a table row lets you edit an existing cost center. Fields:

  • Mark (code) – required, max. 20 characters, must be unique within your company.

  • Description – free text.

  • "Is cost unit" – switch. Off, it's a simple cost center. On, it becomes a cost unit, to which you can assign projects (see below).

  • Active/Inactive – switch, active by default.

A cost unit that already has projects assigned can no longer be converted back into a simple cost center while that project assignment exists.

Assigning projects to a cost unit

Only for cost units (not for simple cost centers), an additional factory icon "Change projects" appears on the table row. It opens a multi-select of all company projects; already assigned projects are pre-selected, and even already-deleted projects are still shown there so you can deselect them.

Effect on other users/pages: a project can only ever be assigned to one cost unit — assigning it to a different one automatically removes the previous assignment. This assignment directly controls which projects your employees get offered as a cost-unit chip during time tracking: only cost units with at least one assigned project show up there with their projects, while simple cost centers appear directly as their own chip.

Activating/deactivating

The active switch in the edit dialog controls whether a cost center can newly be selected during time tracking. Effect: setting a cost center to inactive removes it immediately from the selection for new time entries for all employees — existing entries with this cost center remain unchanged, visible and reportable.

Deleting a cost center

The trash icon lets you delete a cost center after a confirmation prompt. Deletion is refused with no way to force it if the cost center is still used in at least one time entry, extra pay booking, or absence. You must first resolve or reassign these links before deletion becomes possible. For cost centers you no longer actively need but can't delete due to existing links, deactivating is the appropriate alternative.

Table: columns, sorting and settings

The table shows: mark, description, "cost unit?" (yes/no), status (active/inactive) and — for cost units — the assigned projects (comma-separated, deleted projects marked accordingly). All columns are sortable, and the default sort is by mark, ascending.

Changing column settings: click the "⋮" icon (three dots) in the top right of the table and choose "Table settings". There you show/hide columns and adjust their order and width. The same menu also offers "Copy" and "Export".

Storage: these settings are saved locally on your device only and do not affect other admins of your company, or other tables elsewhere in the app.
