Files in the project
On the Files page you manage your project's central file storage — public project files, your private files, and attachments automatically linked from tickets and daily reports.
You find this page in the project menu under "Files".
Areas and folders
Besides real folders you create yourself, there are four fixed areas: Public (all unassigned project files), Private (only your own unassigned files), Tickets (all file attachments on tickets), and Reports (all attachments from daily reports).
Who can see and edit this page
Permissions aren't checked globally but per folder and per action. In the fixed areas Public/Private/an empty folder, you're generally allowed everything. In real folders, your rights depend on whether you personally or your role have been granted edit, write or delete rights on that folder, whether the folder is shared with "all members", whether you're the project manager or project creator, or whether your role has the general "edit folders" right. If you lack the required permission, the corresponding icons are disabled or hidden.
Creating, editing, deleting, moving folders
The plus button creates a new folder (outside the fixed areas); the name must be unique within that directory. The edit icon lets you change the title, description, tags and access rights (per user or role: edit/write/delete, or fully shared with all members). The "move folder" icon relocates a folder. The delete icon removes the folder after a confirmation prompt.
Changing a folder's access rights takes effect immediately for all project members — whoever could write or delete before can no longer do so (or vice versa), without anyone needing to log in again.
Uploading files
Drag & drop or the upload button let you upload one or several files at once; on the web you can also upload entire folders (their structure is automatically recreated as subfolders). On mobile you also have camera and photo library access. Upload progress is shown above the list.
File actions
Rename – changes the display name; the file extension is kept.
Delete – with multiple versions, you choose whether to delete only the current one or all versions. If a file is linked to a ticket or a daily report, deletion is generally blocked (exception: the creator may still delete it within the first 24 hours) — protecting proof photos and report attachments from accidental removal.
Move – into another folder, or directly assign it to a ticket or plan. From the "Reports" area, the file is copied rather than moved, so the original stays in the daily report.
Download – individually, as a whole folder, or via multi-select, each as a ZIP archive when multiple files are involved.
Categorize, comment, tag – a shared dialog with three separately protected fields: comment, category (from the project-specific categories), and tags. Each field is only editable if you have the respective permission.
Copy – only for files not linked to a ticket/report.
Share – generates a share link for a file or folder, which you can revoke.
Versions – files with the same name in the same folder are automatically grouped as versions; you can download or delete each version individually.
Multiselect
Select several files at once to move, download, tag, or delete them in bulk. In the "Tickets" and "Reports" areas, move and delete are disabled as bulk actions.
Views, search, filter
The view switcher lets you choose between table and thumbnail view; your choice is saved locally on your device. The search bar performs a full-text search on file and folder names. The filter icon lets you filter by tags, file format (with quick presets for images/videos/audio/documents), creator and creation date range; the active filter is stored in the URL and is therefore shareable. An additional tag icon offers quick filtering by tag.
Table: columns, sorting and settings
The table shows, among other things: file name with preview, file extension, tags, uploaded by, upload date, capture date (for photos, from EXIF), category, file size, and number of versions; in the "Tickets" area, additionally ticket title and number; in "Reports", additionally the report date. The default sort is by file name, ascending, and many columns are sortable.
Changing column settings: click the "⋮" icon (three dots) in the top right of the table and choose "Table settings". There you show/hide columns and adjust their order and width.
Storage: these settings are saved locally on your device — separately for each folder of this project. They do not affect other project members.
PDF editing: an Enterprise feature
Directly editing PDF files is only available in projects with an Enterprise subscription. If you're not the project creator, you're asked to request an upgrade from the owner; if you are the creator and have an Enterprise account, you're offered directly to upgrade the project.
