Role settings in the project

Page description

In the Roles tab of a project's Team page, you create roles with precisely configured read and write permissions, which you then assign to members of this one project. This is the project-scoped variant of role management — the company-wide variant with reusable role templates is found in the company area under "Project roles" (see here).

Key difference from company-wide role management

Roles you create here apply exclusively to this one project — they are not reusable company-wide and don't appear in any other project or in company-wide role management. Conversely, your company's company-wide role templates are not shown here either. Also, creating your own roles on this page is only possible in projects with a company connection (enterprise subscription); in private projects without a company, you cannot create new roles here.

Who can see and edit this page

Creating and editing roles requires the project-scoped write permission "create project role" — this check is additionally enforced on the server.

Layout of the view

Instead of a classic table, you see a matrix: the first column lists the individual permissions, and the further columns are the roles. If not all roles fit on screen, you page horizontally through the columns using the arrow icons on the left/right. The order is fixed: the four system-wide default roles first, then this project's own roles by creation date.

Default roles

Four system-wide identical base roles are available in every project and can be neither renamed, deleted, nor changed in their permissions here:

  • Project manager – all permissions enabled

  • Collaborator – typical employee permissions

  • Subcontractor – heavily restricted

  • Watcher – read-only permissions

Creating your own role

The round plus button in the bottom right opens the create dialog. You give it a unique name and choose one of the three base roles (project manager, collaborator, subcontractor) as a starting point the new role initially takes on exactly those permissions, which you can adjust afterwards.

Editing your own role

The "⋮" menu of a role you created yourself lets you rename it. For the four default roles, this menu item isn't available.

Changing permissions

In the matrix you toggle individual permissions on or off per own role — read permissions (plans, tickets, journals, team, project settings) as well as finely grained write permissions in the categories plans, tickets, team, files, project and time tracking. An own role can never receive more permissions than its chosen base role has.

A project-local role exists only once within this project. If you change its permissions, this takes effect immediately for every member of this project who has this role without them needing to log in again or reload the app.

Deleting a role

The "⋮" menu of your own role lets you delete it after a confirmation prompt. If the role is still assigned to at least one member of this project, deletion is refused entirely. You must first assign a different role to all affected members via the member list before you can delete this role. Default roles can never be deleted.

Assigning a role to a member

Unlike company-wide roles, this page has no assignment function directly on the role. To assign a (default or custom) role to a member, switch to the "Members" tab of this Team page and use the "Edit role" action on the respective person there (see the "Project team" article here).
