Contacts in the company settings
On the Contacts page you manage external contacts of your company e.g. at customers, tradespeople or suppliers. This is explicitly not a directory of your own company employees (that's the "Employees" page).
Who can see and edit this page
This page is only accessible to company admins. All other roles are automatically redirected to the company profile and can neither view nor edit contacts.
Three tabs
At the top you find three tabs that show the same underlying data from different angles:
Contacts – individual people
Companies – the organizations that people can be assigned to
Groups – freely definable categories/tags for contacts
A shared search bar searches the currently active list; your search term is stored in the URL, so a shared link shows the same search state. Changes, including those made by other admins of your company on another device, are applied to the list live.
Tab "Contacts"
The round plus button in the bottom right lets you create a new contact: first and last name are required fields, plus any number of email addresses and phone numbers, a company assignment, position, address, notes, and a multi-select of contact groups. If you choose a company and the address fields are still empty, they are automatically pre-filled with the company's address. Clicking an existing contact in the table opens the same dialog for editing, plus a detail dialog with further information. If a registered upmesh user exists for one of the emails, you also see that user's projects, activities and ticket comments there.
Deleting (with a confirmation prompt) removes the contact from all lists and selection options (e.g. when assigning a company), but it is only marked as deleted, not immediately removed for good.
Tab "Companies"
Here you create the organizations that individual contacts can be assigned to (company name is required, plus address, phone, email). The "Assign contacts" icon lets you directly select which individual contacts belong to this company. A change here immediately affects the company assignment in the respective individual contact (you can alternatively set this in the contact dialog itself; both paths lead to the same result).
Deleting a company: the confirmation dialog shows you how many individual contacts are affected. These contacts are not deleted, but they lose their company assignment.
Tab "Groups"
Groups are freely named categories you can use to bundle contacts (e.g. "electricians" or "existing customers"). "Assign contacts", sorted by company affiliation, lets you set the entire member list of the group; unlike with companies, this list is completely replaced every time you save, not appended to. If you delete a group, the associated contacts remain, but lose the group assignment.
Important effect on other pages: you can use contact groups in project management to invite all members of a group at once as team members into a project. Only contacts with at least one email address are considered, and deleted contacts no longer appear there. So changes you make to contacts or groups here directly affect who you'll later be able to select when inviting a project team by group.
Importing contacts via Excel
The plus button also offers "Import contacts", a four-step wizard:
Select file: the first sheet of an Excel file is read.
Map columns: you map each Excel column to a target field (first name, last name, emails, phone numbers, company, position, address, notes); matching column headers are suggested automatically. Separate multiple emails/phone numbers within one cell with a semicolon. The company is matched by an exact name comparison with already existing company contacts. If no match is found, the row is flagged as an error. New companies are not created automatically during import; create them beforehand in the "Companies" tab.
Handle duplicates: you choose whether every row is created as a new contact, whether detected duplicates are skipped, or updated with the values from the Excel row. Email, name or phone number are available as the matching criterion.
Run the import: progress is shown, and you can cancel at any time. Rows with a missing first/last name, an invalid email, or a company that wasn't found are skipped and listed at the end with the row number and error message. Contact groups and companies themselves cannot be created via this import, only individual contacts.
Tables: columns, sorting and settings
All three tables (contacts, companies, groups) can be configured independently of each other:
Contacts: first name, last name, emails, contact groups, company, position, phone numbers, street, postal code, city, country, notes.
Companies: company name, street, postal code, city, country, phone, email.
Groups: group name, number of members.
Sorting: click a sortable column header; each table is sorted alphabetically by its name field by default.
Changing column settings: click the "⋮" icon (three dots) in the top right of the respective table and choose "Table settings". There you can show or hide columns, reorder them, and adjust their width. The same menu also offers "Copy to clipboard" and "Export".
Storage: these settings are saved separately for each of the three tables, and locally on your device only. They do not affect other admins of your company, or other tables elsewhere in the app.
