Employees in the company settings
On the Employees page you manage all members of your company: you invite new employees, change their role, permissions and group, and remove them from the company again when needed.
Who can see and edit this page
This page is visible to users with the role Admin or Project manager. However, adding, editing or removing employees is only possible as an Admin — this check is additionally enforced on the server, so it can't be bypassed.
License overview
The info icon next to the title shows your current license usage: used/booked manager licenses, employee licenses (collaborator) and, if your time tracking module is active, time tracking licenses.
Searching
Use the search bar to search the list by first/last name, email, role, personnel number, group, phone number or work time model. Your search term is stored in the URL, so a shared link reproduces the same search state.
Inviting an employee
The round plus button in the bottom right opens the "Add employee" dialog. Before that, the system checks whether free licenses are still available — if your quota is exhausted, a notice that the maximum number of licenses has been reached appears instead of the dialog. Inviting also requires an active server connection.
In the dialog you set:
License type/role: full license, employee license (collaborator), time tracking license, or inactive.
Name (required) and email (required for a full license).
Supervisor – assigns a leader from the company to this employee.
Admin checkbox (full license only) – makes the employee a company admin.
Payroll (full license only) – automatically sets all time tracking, absence and extra pay rights to "all".
"Can invite company employees to projects" and "Can edit journals".
Personnel number and group.
If the time tracking module is active, additionally: work time model as well as the rights "Can record time for"/"view from", "Can record extra pay for"/"view from" and "Can record/approve absences for"/"view from" (each: nobody/self only/group/all).
There is no separate "invitation" function with its own status: the employee is immediately created as a full company member; if no user account exists yet for the given email, one is created automatically and the registration process is started for that person.
Editing an employee
Clicking the pencil icon in the table (or the row itself, then the "Rights" tab) opens the same fields as when inviting. You can additionally change the phone number here; the email address can only be edited as long as the employee doesn't have their own user account yet. The save button is only active if something actually changed and a server connection exists.
Effect on the affected employee and other pages: changes to role, group or rights take effect immediately on the employee's account — for example, what they can see and do on the Time Tracking, Approvals or project pages changes accordingly. A name change takes effect company-wide everywhere the name is shown (tickets, projects, comments). A downgrade to "inactive" or "time tracking license" is refused as long as the employee is still an active member of at least one enterprise project — you're then given the choice to automatically downgrade them to the "watcher" role in the affected projects, or remove them from those projects entirely, before the role change takes effect.
Removing an employee
The trash icon in the table lets you fully remove an employee from the company after a confirmation prompt. The last remaining admin of a company cannot be removed. If the employee is still actively involved in an enterprise project, the same two options as for a downgrade apply (automatic downgrade to watcher, or full removal from the projects). The affected employee immediately loses access to the company and, depending on the chosen option, partially or fully loses access to the related projects as well.
Member details
Clicking a table row opens the member dialog with several tabs: Information (contact details, supervisor, direct reports, QR code), Projects/Activities (only if a user account exists), Work time model, Rights (admins only — identical to the edit dialog), and Time Tracking (only with the module active, and only if it's your own profile or you have payroll rights).
Table: columns, sorting and settings
The employee table shows: profile photo, first name, last name, email, phone, personnel number, group, role, and — only with the time tracking module active — work time model and payroll (yes/no).
Sorting: click a column header to sort by it; the default sort is last name ascending. The profile photo cannot be sorted.
Changing column settings: click the "⋮" icon (three dots) in the top right of the table and choose "Table settings". There you can show/hide columns and change their order and width. The same menu also offers "Copy to clipboard" and "Export" (as CSV/Excel).
Storage: these settings are saved locally on your device only and apply exclusively to this table — they do not affect other admins or other tables elsewhere in the app.
There is no multi-select/bulk action and no CSV bulk import of employees on this page.
License limits
Your company has a fixed quota of manager, employee and time tracking licenses. Both when inviting and when changing roles, this quota is checked — if it's exhausted, the action is refused until either licenses become free (e.g. by removing/downgrading another employee) or additional licenses are booked.
